About Add/Drop
ADD DROP OVERVIEW
Registration at CC begins with a preregistration process (outlined here). After students receive their preregistration results, they may use the live registration system - Add/Drop - to make changes to their schedule.
Add/Drop is available through Banner SSB or by selecting “Register Here” in Stellic. It is the official registration platform following preregistration (Canvas is not a registration tool) and is accessible 24/7.
Within Add/Drop, students can:
- Update their scheduled courses online, 24/7
- Register for new courses, including Half Block and Summer options
- Swap courses or adjust grade tracks within designated timeframes
- Send automatic drop notifications to the professor during the active block
- Access Canvas materials immediately after registering
Registration Essentials
What are Temporary Registrations?
Temporary registrations are not official and carry 0.00 credits. This includes:
- Waitlisted courses
- Preregistration placeholders (GS391, GS392)
How Do Waitlists Work?
During preregistration, students may be waitlisted if a course fills beyond capacity
Placement is based on the seniority system
After preregistration, students who attempt to add a full course are placed at the end of the waitlist
Why Does Being Waitlisted Matter?
Waitlisted courses do not count toward full-time status.
Students are strongly encouraged to enroll in a backup course with open seats while remaining on a waitlist.
How Do Students Get Off a Waitlist?
- Waitlisted courses are treated as top preferences
- If a seat opens, students are automatically enrolled and notified afterward (no advance notice)
- Waitlists are processed once daily
- If a seat appears open but a waitlist exists, it will be filled during the next processing cycle
Important:
If you no longer want a waitlisted course, you must request to be removed by emailing registrar@coloradocollege.edu.
Failing to do so may result in being automatically enrolled in an unwanted course, which could affect your ability to rejoin another class.
What Are Preregistration Placeholders (GS391 & GS392)?
Placeholders are temporary courses used during preregistration only while awaiting application approvals. After processing, they carry no credit.
- GS391 (Thesis/Independent Study): Requires an approved thesis or independent study application
- GS392 (Study Abroad): Requires approval through the Center for Global Education & Field Study
- Taking Time Off: Students using placeholders for time away must work with their advisor to complete leave paperwork
What Happens at 5 PM on the Friday Before a Block Begins?
If you were on a waitlist and not enrolled before this deadline, you are no longer registered. To join a course, you must use Add/Drop on Day 1 or 2 of the block with instructor approval (COI PIN).
- Final class and waitlist rosters are sent to faculty
- All temporary registrations are dropped
Where Can Students Add Courses?
Students are initially registered through preregistration. After results are released, Add/Drop becomes available for that semester.
All official registration changes—including adding courses—must be completed in Add/Drop, accessible via:
- Banner SSB
- The “Register Here” link in Stellic
Students may add any eligible course or use a required PIN through this system.
When Can Students Add Courses?
- Before the block begins: Add/Drop is available until 5 PM on the Friday before the block starts
- After 5 PM Friday: Registration is paused over the weekend
- Days 1–2 of the block (Add Period): Students may add or swap courses only with instructor approval (COI PIN)
- Future blocks: Students may continue adding courses for upcoming courses within the available blocks
What Happens After the Block Begins?
During Days 1–2 only:
- All course adds require a COI PIN from the instructor
- This applies even if you meet prerequisites or were admitted from a waitlist
- Registration must still be completed in Add/Drop
Important: Being added to a Canvas course does not mean you are officially registered.
Add Deadline (First Tuesday at 5 PM)
At 5 PM on the first Tuesday of the block, Add/Drop closes for course additions.
If you miss the deadline, you must email the Registrar’s Office with:
- Student ID
- Course details (CRN, course ID, title, instructor, grade track)
- COI PIN from the instructor
Before Dropping a Block or Semester
All CC students are expected to maintain full-time enrollment (minimum of three blocks per semester). If you are considering taking time off, it’s important to act before the deadline.Taking one block off:
- Full-time students may register for a single block off directly in Add/Drop
- Requires approval from your Hub Advisor
- Requests must be submitted by 5 PM (MST) on the second Tuesday of the block
All requests (whether through Add/Drop or an advisor) must be completed by the deadline—late requests are not approved.
Important Considerations
- Financial Aid: Taking time off may impact aid or scholarships > contact: financialaid@coloradocollege.edu
- International Students: Time away may affect visa status > contact: isss@coloradocollege.edu before making changes
- Registration Responsibility: Dropping a Canvas course does not update your registration > All changes must be completed in Add/Drop or through the Registrar's Office.
Missed the Drop Deadline?
Students have until the second Tuesday of the block to drop a course. After that, options include:
- Change Grade Track (e.g., Pass/Fail) Petitions may be considered (with extenuating circumstances) within one year
- Request an Incomplete Arrange directly with your professor for additional time (up to three blocks)
- Excused Grade Petition For documented medical situations, with instructor approval
Avoid an Administrative Fail (WF)
Students who do not officially withdraw or stop participating without approval may receive a WF (administrative fail).
Drop Deadline (Second Tuesday at 5 PM)
Students must email their request to drop their current block course to registrar@coloradocollege.edu no later than 5 PM on the second Tuesday, course drops are not available in Add/Drop.
After this point:
- Students are financially responsible for the block
- Dropping the course is no longer an option

Adjunct Courses
Adjuncts provide additional opportunities to earn credit towards graduation. Adjuncts can span a couple blocks, a full semester, or a whole year.
Adding an Adjunct
- Use Add/Drop to register through the Add period of the starting block (typically the first Tuesday)
- After the Add deadline:
- Submit a Late Course Add Slip to registrar@coloradocollege.edu
- Requests must be received no later than the adjunct drop deadline
Dropping an Adjunct
- Email registrar@coloradocollege.edu with:
- Your CCID
- The course CRN
- Requests submitted after the drop deadline require instructor approval

Grade Track Changes (Adjuncts)
- Can be completed in Add/Drop through the grade track deadline of the starting block
- After that, submit a request to registrar@coloradocollege.edu
- Final deadline: 5 PM on the last Tuesday of the adjunct course
Grade Track Change Policy
Updated at the Block 8 (2023) Faculty Meeting, the current policy states: Grade track changes are not permitted after the second-to-last day of the block without extenuating circumstances.
In practice, this means students have until 5 PM on the last Tuesday of the block to select or change their grading option.
Policy Background
- Previous policy: Changes allowed during the first four days of the block
- COVID-era update (Spring 2020): Extended deadline to the last Tuesday
- Current policy (adopted 2023): Last Tuesday deadline is now permanent
At 5 PM on the last Tuesday of the block, grade track changes are locked in and can no longer be made in Add/Drop.Grading Options Students may choose:
- Letter Grade (G)
- Pass/Fail (S/CR/NC)
- No credit earned
- Transcript shows a Z grademark if completed
- Auditing must be arranged prior to the start of the course
- Auditing cannot be used to avoid a failing grade
Half Block (H Block) Registration
Half Block registration is available in Add/Drop and typically opens alongside fall schedule changes in the spring, following Fall Preregistration.
Half Block (H Block) is an optional January term that allows students to earn 0.50 credit. Courses are listed under the Spring term in the course schedule and labeled as “H” Block.
- Students may enroll in one Half Block course per academic year
- Registration is completed through Add/Drop (Banner or Stellic access-points)
- Instructor consent (COI PIN) may be required for some courses
How to Register
- Log in thru Banner or Stellic
- Open Add/Drop
- Select the appropriate Spring term
- Search for “H” Block courses or enter the CRN
- Choose a grading option and submit
Important Notes
- Half Block courses are half-credit only (full-credit January courses were offered during Covid only and are no longer offered)
- If a course requires instructor approval, you must obtain a COI PIN before registering
- Students are encouraged to consult advisors when planning
Summer Blocks
Summer Block registration is available in Add/Drop and typically opens alongside spring schedule changes in the fall, following Spring Preregistration.
In addition to Half Block, students may also take courses during summer blocks, which offer additional opportunities to earn credit outside the standard academic year. Availability, credit amounts, and registration timelines for summer courses can be found on the Summer Term website.

Whether you are discussing registration or interacting with either application (Preregistration or Add/Drop), the following are helpful terms to know:

Term is commonly used in place of semester. On the CC Block Plan: Fall Term encompasses Blocks 1+2+3+4; Spring Term encompasses Blocks H+5+6+7+8; and Summer Term encompasses Blocks A, B, C. *H is a condensed block to start the Spring Term and is not mandatory but courses offerings allow student an opportunity to earn an additional 0.50 credit in the term. A good option for those who want to keep ahead on their credits (or catch-up from taking time away). |

What CC is known for! One Block is 3.5 weeks in length; earns 1 unit of credit (equivalent to 4 semester hours or 6 quarter hours); and is scheduled 8x in an academic year (Blocks 1-4 in the Fall and 5-8 in the Spring). Other optional "Blocks" include H (Half Block) which kicks off the Spring semester, and A, B, & C which makes up the Summer Term. |
| Passcode | A student's Preregistration code. This is a 6-letter combination passcode that must be entered in ALL CAPS in the Preregistration application. The general or major advisor tied to a Student's Information page is the one who has access to a student's Preregistration Passcode and can locate this under their Faculty Services tab > Your Advisees. Passcodes are replaced with each Preregistration period. |
| G | Symbol for the letter grades grading track. Grades awarded on the G track are standard marks that are always factored into a student's GPA. Review the Credit and Grades Policy. |
| P | Symbol for the pass/fail grading track. Grades awarded on the P track are not factored into a student's GPA (unless they receive a NC). However, an S will still qualify a student to meet any degree requirement associated to the course. Review the Credit and Grades Policy. |
| Z | Symbol for the audit grading track. The only grading track which requires explicit professor approval and must be manually assigned through the Registrar's Office. Audits do not grant credit. Review the Credit and Grades Policy. |
| COI | Short for "consent of instructor". This is a 6-letter combination pin that must be entered in ALL CAPS in either registration application. The instructor(s) tied to the course have access to their COI under their Faculty Services tab > Your Teaching Schedule. A COI PIN is used to override prerequisite errors in the registration applications; approve registration adds once the block/course has begun; or if a course requires a COI specifically. |
| COD | Short for "consent of department". Similar to the COI PIN, a COD is a 6-letter combination pin that must be entered in ALL CAPS in either registration application. The department chair has access to the COD for their department under their Faculty Services tab > Consent of Department. |
| WF |
An administrative fail assigned to any student who has failed to withdraw officially from the course after the drop deadline or has abandoned their academic responsibilities. Review the Credit and Grades Policy. |
| GW |
*no longer enforced after Spring 2025 Seen on a students transcript view in SSB or on a printed unofficial transcript. Indicates a "grade withheld" due to not completing the course evaluation for the course. Once the evaluation is completed, the GW is automatically replaced with the actual grade assigned to the student (a browser refresh may be necessary). |
| CRN | Course reference or routing number; a 5 digit sequence. Uniquely identifies a course in the term and is used in registration applications. The CRN can be found on the Course Schedule or in the right-hand info panel in Stellic. |
| Course ID |
This is a combination of two letters that represent the subject or department followed by three numbers. GS123 1421 An additional four characters finalize the full make-up of a course's ID (see "BEST" defined below) but most can simply refer to the ID as the subject+course number. |
| BEST |
Ever wonder what the 4 characters represent after a course number? GS123 1421 To help explain, the word "BEST" is used: B = the block in which the course begins E = the block in which the course ends S = the block's section (can be a # or letter) T = the block's scheduling type (block seminar, adjunct, extended format) |
| Limit |
Viewable on the course schedule, "Limit" indicates how many maximum seats are available in a course. A limit of 1 indicates that is an independent/thesis block for a specific student. A limit of 25 means there are 25 available seats. |
| Reserved |
Viewable on the course schedule, "Reserved" indicates how many seats were set aside for first-year students only. Any reserved seat left open at the start of the semester will be released. Once released, these seats move into the Available column and are open for all student types. |
| Class Size | Viewable on the course schedule, "Class Size" indicates how many students are officially enrolled in the course. |
| Available | Viewable on the course schedule, "Available" indicates how many open seats there are in a course for all student types. Careful, if a # is listed under the "Available" column but there is also an active waitlist, this means that the available seat(s) will go to the first student(s) on the waitlist until there is no longer a waitlist. |
| WL | Short for "Waitlist"; a temporary registration which is paired with a position number on a student's schedule which indicates where on the waitlist a student is. On the main course schedule, the number indicates how many students (in total) are on the course's waitlist). WL registrations are dropped the Friday before the block starts. If dropped, a student is no longer considered enrolled. |

| TCI | Term Check-In (TCI) is a required reporting process that both the students and the college must complete over the beginning block of each fall and spring semester. Students who are taking courses led by CC-faculty on/off campus for any blocks tied to the semester will "report in" by completing a guided, self-paced form through the Term Check-In portal (SSB). The Registrar's Office facilitates this process until the reporting window closes. Once closed, students who have not reported in will be removed from their classes and their spots will be released to active students. Following the close, the enrollment census reports are captured for the term (Fall or Spring Snapshot). |
