Student Time Off, Withdrawal, & Reinstatement Policy

All financial and administrative policies involving community members across campus, including volunteers are within the scope of this policy. Policy

Student Responsibility Policy

It is a student’s responsibility to understand the implications of enrollment status changes, leaves of absences, or withdrawals before requesting such changes.

 

Single Block Off

All full-time students are allowed to take a single block off (i.e., not attempt a single block) within the fall term or spring term without prior approval. When taking a single block off, students retain full-time enrollment status, and therefore taking a single block off does not constitute a status change. There are no refunds for tuition, housing, or dining if a student takes a single block off.

 

Additional Blocks Off (Enrollment Status Changes)

Not attempting additional blocks beyond a first, single block within a single semester is not automatic and must be approved in advance by the Advising Hub because it constitutes a change to a student’s enrollment status.

  • Additional blocks off must be requested in advance of the drop deadline of the block requested.
  • If an additional block off is requested for a block in progress, the student must continue attending the registered block course until receiving written approval from the Advising Hub. If a student stops attending the course before receiving written approval and is denied an additional block off, the student will receive a grade of WF and will still be responsible for paying tuition for the course.
  • Additional blocks off requested after the drop deadline of a block in progress or requested retroactively will be denied.
  • Additional blocks off are approved if the additional block off does not impact a student’s satisfactory academic progress, and the student can provide sufficient evidence of continued engagement in campus life during the requested block off.
  • Taking additional blocks may have implications for a student’s tuition, housing, dining, financial aid, student employment, and J1/F1 Visa status. Students are required to consult with the appropriate offices about possible implications before requesting additional blocks off.

 

Eight Block Maximum

If a student accumulates a total of eight blocks without attempting a course, they may be withdrawn from the College. The eight-block maximum includes the accumulation of individual blocks not attempted during active semesters and during leaves of absences.

 

Leave of Absence: Student-Initiated

Student-initiated leaves of absence are not granted automatically and must be approved by the student’s Hub advisor, who will serve as their campus point-of-contact for the duration of the leave.

  • Student-initiated leaves of absence must be requested in advance of the requested time away.
  • Leaves of absence requested after the drop deadline of a block in progress or requested retroactively will be denied.
  • If a leave is requested before the drop deadline of a block in progress, the student must continue attending the registered block course until receiving written approval from the Advising Hub. If a student stops attending the course before receiving written approval and their request is denied, the student will receive a grade of WF and will still be responsible for paying tuition for the course.
  • If a student has taken a block off earlier in the semester (e.g., block 2) and later requests a leave of absence (e.g., block 4), the prior block off is not considered part of a student’s leave of absence. Leaves of absence cannot be taken retroactively.
  • Students on a leave of absence required to hold a meeting with their Hub advisor prior to their leave, as well as contact their Hub advisor at least one month prior to their return to campus to confirm their return.
  • Taking leave of absence may have implications for a student’s tuition, housing, dining, financial aid, student employment, and J1/F1 Visa status. Students are required to consult with the appropriate offices about possible implications before requesting a leave of absence.

 

Leave of Absence: Institution-Initiated

Institution-initiated leaves of absences are issued by designated College Officials, typically because of a significant challenge facing a student requiring them to take time away from campus, including suspension.

  • During the institution-initiated leave, students are required to completed stipulations outlined by the College Official that must be completed and approved in writing by the same College Official before return.
  • During the institution-initiated leave, the College Official issuing the leave serves as the student’s point-of-contact and issues their approval for reentry.
  • Students who do not complete term check-in may be placed on institution-initiated leave for the semester in which they failed to check in.

 

Withdrawal from Colorado College

Students are required to complete a withdrawal form and exit interview with the Advising Hub to withdraw from the College. Until a student has officially withdrawn no refund of the general obligation deposit will be considered.

 

Reinstatement to Colorado College after Withdrawing

If a student withdraws from the College they must reapply through the Office of Admission and meet the advertised deadlines.

 

Utilizing the One-Block Wildcard for Summer Study

After one semester of study at Colorado College, all students are given a Wild Card that can be used to cover the CC tuition of the first, one Block, regularly scheduled summer course they take before graduation.  Through the use of the Wildcard, students can earn a block of credit that they need to keep them on track for graduation or to just take a course that interests them.  Students should talk with their faculty and staff advisor about their academic plans and goals. Students do not need to notify student accounts or Summer Session to use the Wild Card, it is applied to the student account automatically for the first summer course they take.

Procedures

Single Block Off

To take a single block off (i.e., not attempt a single block course) with the fall or spring term, the student must replace the course for which they are registered with CRN00000 (Block Off) in Banner on or before the drop deadline of the block they wish to take off.

 

Additional Blocks Off (Enrollment Status Change)

To request an additional block off, a student must completes the Additional Blocks Off request form on the Advising Hub website on or before the drop deadline of the block off they wish to take off. The Hub advisor reviews the request and decides within two business days.

  • If an additional block off is requested for a block in progress, the student must continue attending the registered block course until receiving written approval from the Advising Hub.
  • Once an additional block off is approved, the Hub advisor will add CRN00000 (Block Off) in Banner during the approved block off.
  • If the request is denied, the student is expected to continue to attend the course, or to petition the Registrar for an Excused Grade (Y).

 

Leave of Absence: Student-Initiated

To request a student-initiated leave of absence, a student completes the request form on the Advising Hub website on or before the drop deadline of the first block of the student’s leave. LOAs are not granted automatically and must be approved in advance by the student’s Hub advisor.

 

Leave of Absence: Institution-Initiated Leaves of Absence

An institution-initiated leave of absence is issued by a College Official, usually after meeting with the impacted student.

 

Withdrawal from Colorado College

Students are required to complete a withdrawal form and exit interview with the Advising Hub to withdraw from the College.

Definitions

Attempting A Course: A student is considered to have attempted a course if they remain registered in the course past the drop deadline, regardless of whether they successfully complete the course. If a student registers for a course but drops before the drop/add deadline, the course is not considered attempted. Successful attempts of a course are graded, while unsuccessful attempts are noted on a student’s transcript as either failing grades, WF (Withdraw Fail), or Y (Excused).

 

Block Course: full-credit (1 unit) course taken during a 3.5-week period, four per semester.

 

Enrolled Student: Student who has registered for courses in given semester plus those who are on an approved leave of absence.

 

Leave of Absence: Student-Initiated: A Student-Initiated Leave of Absence (LOA), also known as Withdrawal with Intent to Return, refers to a temporary interruption in a student's program of study which is initiated by a student. During a Leave of Absence a student is not registered for courses the institution and pauses their relationship with the institution for a period of time. Students who are participating in an “Off Campus Program Leave” (studying abroad via a non-Colorado College institution) do not need to complete a Student-Initiated LOA.

 

Leave of Absence: Institution-Initiated: An Institution-Initiated Leave of Absence (LOA), also known as Withdrawal with Intent to Return, refers to a temporary interruption in a student's program of study which is initiated by a college official. During a Leave of Absence a student is not registered for courses the institution and pauses their relationship with the institution for a period of time.

 

Registered Student: a subset of Enrolled Students, applies to only those students who have courses scheduled during a particular semester and who have finished the semester’s registration process.

 

Enrollment Status Level: A student's status level refers to the number of academic units they are attempting in fall or spring semester. Status levels are categorized as follows:

 

  • Full-Time Status: Attempting 3+ units in a semester (equivalent to 12+ semester hours)
  • Part-Time Status: Part-time status is an umbrella term referring to both of the following:
    • Half-Time Status: Attempting between 1.5 – 2.9 units in a semester
    • Less Than Half-Time Status: Attempting between 0.1 – 1.49 units in a semester.

 

Wait List: A temporary registration which is paired with a position number on a student’s schedule which indicates where on the wait list a student is located. Wait list registrations are removed the Friday before a given block starts. If dropped, a student is no longer considered registered for the course. Being on a wait list assumes that a student’s intent is to seek permanent registration in a course.
